About the role

Key responsibilities & impact

Support the media buying team in day-to-day execution and operational maintenance of advertising campaigns.
Input campaign details into Salesforce and WOVN via bulk uploads accurately.
Populate media plans with show descriptions, demographics, host names, and sample sponsor details.
Monitor campaign delivery and assist with outreach to network partners for pacing updates or delivery clarifications.
Track and submit media actualization data, including confirmed underdeliveries, through internal workflows.
Flag campaign issues or discrepancies and propose solutions.
Assist with outbound and follow-up communication to network partners for RFP submissions.
Collect, organize, and format incoming RFP materials for media team review.
Communicate RFP outcomes to partners clearly, professionally, and promptly.
Conduct brand safety checks on prospective placements and flag concerns with recommended next steps.
QC views and activity fill information in proposals.
Ensure vendor-facing communication is professional, timely, and aligned with internal timelines.

Requirements

What you’ll need

1–2 years of experience in a similar coordination, media, or data operations role (internships count!).
Proficient in Microsoft Office (Excel, Word) and Google Workspace (Docs, Sheets, Gmail).
Experience with project management tools or media systems (e.g., Salesforce) is a plus.
Prior experience in media, advertising, or agency operations is a bonus.
Exceptionally organized and detail-oriented.
Strong communicator with excellent written English skills and a professional, collaborative tone.
Team-first thinker.
Adaptable and flexible when processes and demands change.
Self-starter who takes ownership and follows through.
Solutions-oriented problem solver.
Comfortable managing multiple tasks and deadlines in a high-volume, fast-paced environment.
