About the role
Key responsibilities & impact- Manage complex calendars, travel, expenses, and meeting logistics for both CEOs, with additional support for other leaders as needed
- Anticipate leadership needs, navigate shifting priorities, and handle confidential information
- Own operations for the San Francisco, Madison, and Denver offices, including facilities, vendors, supplies, budgets, and employee needs
- Plan events, offsites, celebrations, and recognition activities
- Manage the swag store and create welcoming, productive workplaces
- Own employee equipment ordering, setup, inventory, and returns
- Coordinate access and troubleshooting with IT partners and follow requests through resolution
- Support onboarding, offboarding, employee communications, employee questions, and People program logistics
- Build repeatable solutions using AI and automation
- Take ownership of new projects and unexpected business needs
Requirements
What you’ll need- Experience supporting senior executives, including complex scheduling, travel, and confidential matters
- Experience in workplace operations, office management, or employee experience within a fast-paced startup or another environment with frequently changing priorities
- Strong organization, judgment, communication, and follow-through
- Systems-thinking approach; ability to spot dependencies and gaps and turn incomplete direction into thoughtful action
- Comfort coordinating employee technology needs and working with vendors and technical partners
- Practical experience with AI and workplace tools, and curiosity about better ways to work
- Service mindset and flexible approach
- Ability to handle confidential information with discretion
