About the role
Key responsibilities & impact- Lead end-to-end new-item setup processes across retail customers
- Collect, review, and validate item, pricing, packaging, financial, and customer information for retailer submissions
- Identify missing information, inconsistencies, and potential compliance issues and coordinate resolutions
- Develop, document, and manage SOPs for new-item and promotional submissions
- Own the master promotional calendar across retail accounts
- Validate promotional activity, timing, and program details and identify discrepancies
- Flag scheduling conflicts between competing promotional requests
- Manage submissions through retailer portals and customer systems
- Interpret retailer requirements, resolve routine submission issues, and monitor authorization and approval status
- Monitor submission process effectiveness and recommend improvements
- Ensure retailer submissions meet customer requirements and company standards
- Resolve customer sample requests and coordinate delivery to retailer buying teams
- Partner with FP&A to validate and analyze pricing- and promotion-related deductions, contracts, and chargebacks
- Track customer deadlines and submission requirements
- Prepare and organize routine meeting materials and sales documentation
- Coordinate with Finance, Account Managers, brokers, Sales Planning, and internal systems to reconcile information
- Provide validated account-level inputs for commercial planning and reporting
- Reconcile post-promotion performance recaps using customer and internal data
- Maintain accurate customer and promotional inputs for recurring retail sales reporting
- Implement systems and workflows that reduce administrative work for Account Managers
- Design and improve templates, trackers, controls, and SOPs
- Own day-to-day execution, issue resolution, accuracy, and follow-through across Retail Sales
- Report to the VP, Retail Sales
Requirements
What you’ll need- 2–4 years of experience in CPG sales support, account coordination, sales administration, brokerage, or a related commercial role
- Ability to independently manage recurring commercial or customer-facing processes with limited day-to-day supervision
- Experience preparing retailer new-item forms, promotional submissions, and customer documentation
- Experience building or improving SOPs, trackers, workflows, or other operating processes
- Experience navigating retailer portals and customer systems
- Strong Excel and/or Google Sheets capability
- Ability to validate, reconcile, and summarize customer and commercial information
- Exceptional organization and attention to detail
- Ability to manage multiple customers, submissions, and deadlines simultaneously
- Strong follow-through and ownership of recurring administrative workflows from preparation through completion
- Comfort operating independently in a fast-moving, high-growth CPG environment
- Strong written and verbal communication skills
- Ability to work effectively across Account Management, Sales Planning, Retail Operations, Finance, brokers, and other partners
- Ability to identify missing, inconsistent, or inaccurate information
- Proactive, service-oriented mindset
- Interest in finding more efficient ways to support a growing commercial organization
