About the role

Key responsibilities & impact
  • Manage all inbound phone calls for service requests, complaints, invoice clarifications, and updates
  • Receive, create, and dispatch service calls
  • Adapt to schedule changes and emergency requests while keeping customers informed
  • Set up new service sites, equipment, service calls, purchase orders, and field schedules accurately
  • Pre-plan and schedule contract service work and projects two weeks in advance
  • Coordinate schedules and access requirements with customers
  • Manage open service calls by reviewing costs and field notes, entering status updates, and preparing service billing
  • Assist with timely and accurate completion of technician paperwork
  • Maintain communication with customers using customer portals and third-party websites
  • Maintain communication between technicians, team leads, and the service manager
  • Issue purchase orders to technicians for third-party materials
  • Maintain customer third-party websites according to customer requirements
  • Place parts/material orders and process returns
  • Provide regular reporting to the Service Manager
  • Support the Service Manager and technicians
  • Perform other duties assigned by the company

Requirements

What you’ll need
  • Demonstrated proficiency in MS Office (Excel, Word, PowerPoint), SharePoint, and basic Windows environment
  • Knowledge of basic accounting and business principles
  • Ability to lead and work with diverse teams
  • Excellent written and verbal communication skills
  • Ability to positively represent the company and communicate with others at varying technical levels
  • Ability to learn and become proficient with Service Management software and financial accounting systems within a set timeframe
  • Strong organizational skills
  • Ability to work as a member of the Customer Service Center Team
  • Excellent attention to detail and a high sense of urgency
  • Understanding of the general service and/or construction industry
  • Must successfully pass a background check and drug test
  • Ability to sit constantly, walk short distances, bend, stoop, twist, reach above and/or below shoulder, handle/grasp documents or office equipment, speak clearly and hear adequately, read source materials and computer screen data, perform repetitive computer equipment motions, lift 25 lbs. occasionally and 5–10 lbs. frequently
  • Knowledge of HVAC Service, Fire & Security Service, and Controls Service is a plus
  • Knowledge of Microsoft Dynamics GP/WennSoft/Key2Act is a plus
  • Associate degree in business administration, accounting, or another related field is a plus
