About the role
Key responsibilities & impact- Perform rule-based calendaring by reviewing pleadings, orders, notices and correspondence to identify and calculate litigation deadlines
- Research and apply state, federal, local, judge-specific and agency rules of procedure
- Process calendar requests using docketing and calendaring systems
- Create, update and maintain deadlines and trial calendars
- Generate weekly and customized calendar reports
- Conduct calendar review meetings with attorneys and paralegals
- Respond to calendaring inquiries and investigate docketing concerns
- Research court rules, standing orders and filing requirements
- Monitor rule changes and disseminate notices
- Provide operational guidance on filing and calendaring requirements
- Prepare and perform electronic and print filings in state, federal, appellate and agency courts
- Review documents for compliance with court rules
- Coordinate service of process, subpoenas and courtesy/service copies
- Communicate with courts and administrative offices regarding filing requirements
- Monitor filing status and update attorneys and case teams
- Download filed documents and update internal systems
- Retrieve court records and filed documents
- Maintain attorney filing credentials and court admission information
- Create and manage court filing accounts and troubleshoot credential issues
- Coordinate with filing vendors and attorney service companies
- Submit vendor invoices
- Work collaboratively with Filing Specialists, Docket Specialists, Docket Manager and Senior Court Services Specialists
- Maintain regular office hours and be available for after-hours and weekend overtime as needed
Requirements
What you’ll need- High School Diploma or GED required
- Bachelor’s degree preferred or equivalent years of experience
- 5+ years of litigation docketing experience
- 2+ years of e-filing experience
- Knowledge and ability to research multi-state, federal, local, judges’ and agency rules of civil procedure
- Experience researching state and federal court websites
- Experience using online filing platforms, including CM/ECF and third-party vendors
- Advanced proficiency with Microsoft Office, including Outlook, Edge, Excel and Word
- Experience with CompuLaw Vision, Pacer, Smartrules and Westlaw
- Ability to calculate deadlines accurately and enter due dates
- Excellent verbal and written communication skills
- Ability to interpret and analyze information
- Ability to work independently in a fast-paced environment
- Ability to manage competing deadlines and prioritize tasks
- Ability to meet physical demands including writing, typing, reading, speaking, hearing, seeing, sitting, bending, reaching and lifting up to 25 lbs
