About the role
Key responsibilities & impact- Answer, screen, and direct calls using a multi-line phone system
- Retrieve and forward messages to appropriate staff
- Schedule cases with surgeon offices and facilities in a multi-provider office
- Perform clerical duties for physician and corporate offices as needed
- Provide a high level of customer service
- Coordinate the next day's schedule with physicians
- Create and maintain daily/monthly call, meeting, and vacation schedules and distribute them
- Enter schedules into the database and distribute them by fax, email, or mail
- Fill open shifts and emergency openings
- Negotiate with clinicians
- Upload and update website scheduling information daily
- Run and create reports for management
- Educate new clinicians on scheduling protocols and guidelines
- Coordinate with site scheduling administrators to ensure coverage needs are met
- Reconcile clinician hours and submit payroll reports, providing analysis as needed
- Maintain punctual and regular attendance
- Perform quality assurance, recruiting, or office administrative duties depending on region
- Perform other duties as assigned
- Attend information systems security training when offered and report security problems
Requirements
What you’ll need- High School Diploma or High School Equivalency
- 1 to 2 years of experience in a business office, hospital, or physician practice setting
- 1 year of customer service experience
- 1 year of anesthesia scheduling experience preferred
- QGenda experience preferred
- EMR Systems experience preferred
- Ability to interact courteously and respectfully with patients and family members
- Ability to present information and respond to questions from managers, patients, and the general public
- Ability to perform basic arithmetic with whole numbers, common fractions, and decimals
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to adjust to varying work paces
- Ability to make fact-based decisions
- Ability to develop relationships with professionals, clinicians, and hospital staff
- Strong computer skills, including MS Office, Access, and Windows applications
- Must follow HIPAA standards, policies, procedures, and patient confidentiality requirements
- Must adhere to information systems security policies and procedures
