About the role
Key responsibilities & impact- Provide administrative support to Navy Federal Investment Services phone operations, digital chat, and Financial Advisors
- Respond to member telephone, digital chat, and other communication inquiries
- Assist with client inquiries through multiple media channels and verify Customer Personal Identity
- Research and follow up to achieve first-call resolution; redirect calls when appropriate
- Establish and maintain client relationships, determine needs, overcome objections, and transfer to appropriate staff
- Make outbound calls to resolve rejected paperwork issues and schedule, confirm, and track referrals and appointments
- Resolve challenging or sensitive situations using tactful customer service communications
- Review client accounts and activities, research needs, respond to inquiries, create cross-servicing opportunities, and increase product penetration
- Identify account irregularities, potential fraud, and abuse under BSA/AML requirements; document and report potential security breaches
- Assist with account setup and changes, portfolio reviews, and financial plans
- Prepare and review client paperwork for accuracy, completeness, currency, and regulatory compliance
- Stay current on regulations, security updates, fraud alerts, compliance requirements, policies, procedures, products, services, system changes, and marketing efforts
- Schedule, coordinate, and track expenditure, new business, and appointment results from marketing initiatives
- Assist in training and onboarding
Requirements
What you’ll need- Experience in an administrative support capacity, preferably in customer service or financial services
- Familiarity with financial transactions/processing, lending practices, principles, and compliance/regulations
- Knowledge and use of multiple systems to reference and record account information and member interactions
- Familiarity with investment products, services, processes, requirements, and systems
- Advanced customer service and relationship management skills
- Ability to remain calm and courteous under pressure
- Ability to interpret and explain regulations, instructions, and procedures
- Organizational, planning, time management, research, analytical, and problem-solving skills
- Ability to perform mathematical calculations and work accurately with numbers
- Ability to comprehend, analyze, apply, and communicate complex written legal documents
- Accuracy, attention to detail, and ability to meet deadlines
- Experience managing multiple priorities independently and/or in a team environment
- Effective verbal and written communication skills
- Ability to navigate multiple screens and PC applications and adapt to new technologies
- Effective word processing and spreadsheet software skills
- Bachelor's degree in Business Administration, Finance, Management, or related discipline, or related professional experience (desired)
- Working knowledge of Navy Federal/NFIS products, services, functions, philosophy, organization, programs, policies, and procedures (desired)
- FINRA Series 7, NASAA Series 63/65 or 66 registration, and state Life & Health Insurance License (desired)
- Ability to work Monday–Friday, 8:30 AM–5:00 PM PT
