About the role

Key responsibilities & impact
  • Provide administrative support to Financial Advisors
  • Respond to member telephone, digital chat, and other communications inquiries
  • Assist with client inquiries through various media channels and verify Customer Personal Identity
  • Research and follow up to achieve first-call resolution; redirect calls when appropriate
  • Establish and maintain client relationships, determine needs, overcome objections, and transfer clients to registered staff or designated areas
  • Make outbound calls to members, wholesalers, and back-office personnel to resolve rejected paperwork issues
  • Schedule, confirm, and track referrals and appointments
  • Resolve challenging or sensitive situations using tactful customer service communications
  • Review client accounts and activities, assess needs, answer inquiries, create cross-servicing opportunities, and increase product penetration
  • Identify account irregularities, potential fraud, and abuse under BSA/AML requirements; document and report potential security breaches
  • Perform complex account setup and maintenance using advanced-access systems
  • Assist with account setup and changes, portfolio reviews, and financial plans while ensuring proper recordation and retention
  • Prepare and review client paperwork before and after appointments for accuracy, completeness, currency, and regulatory compliance
  • Execute advanced account setup and changes, portfolio reviews, and account hypotheticals as directed by management or Financial Advisors
  • Stay current on regulations, security updates, fraud alerts, compliance requirements, policies, procedures, products, services, system changes, and marketing efforts
  • Schedule, coordinate, and track expenditure, new business, and appointment results from marketing initiatives
  • Assist with unsolicited trades
  • Assist in training and onboarding new employees

Requirements

What you’ll need
  • FINRA Series 7
  • NASAA Series 63/65 or Series 66 registration
  • State Life & Health Insurance License
  • Experience in an administrative support capacity, preferably in member/customer service or financial services
  • Familiarity with financial transaction/processing responsibilities
  • Familiarity with financial institution and lending practices, principles, and regulations
  • Working knowledge and use of multiple systems to reference and record account information and member interactions
  • Ability to work independently and in a team environment
  • Effective verbal and written communication skills
  • Skills in influencing, negotiating, and persuading
  • Advanced customer service and relationship management skills
  • Ability to interpret and explain regulations, instructions, and procedures
  • Organizational, planning, time management, research, analytical, and problem-solving skills
  • Ability to perform mathematical calculations and work accurately with numbers
  • Knowledge of business-unit products, services, processes, requirements, and systems
  • Ability to comprehend, analyze, apply, and communicate complex written legal documents
  • Ability to maintain accuracy, attention to detail, and deadlines
  • Experience managing multiple priorities
  • Ability to navigate multiple screens and PC applications and adapt to new technologies

  • Bachelor's degree in Business Administration, Finance, Management, or related discipline, or related professional experience is desired
