About the role
Key responsibilities & impact- Provide administrative support functions for the Collections division
- Assist management with coordinating and executing team tasks
- Monitor and assist the team to ensure tasks are completed and deadlines are met
- Handle financial documents, member information, and physical security according to policies and procedures
- Log, sort, and record incoming and return mail
- Inform the team of changes and new instructions
- Present the Administrative Support Overview to new employee training classes
- Provide employee training as directed by management
- Solicit feedback and ideas on current processes and policies
- Answer team questions regarding daily operations, policies, and procedures
- Update and maintain the Administrative Section policy and procedure manual
- Maintain reports, phone lists, and rosters
- Coordinate loan adjustment sequences with Collections' Consumer Loan Account Specialists
- Prepare correspondence, data, reports, and presentations; proofread documents and recommend edits
- Take minutes for section meetings
- Attend or conduct meetings and discussions on behalf of management
- Participate in or lead special projects and management research, including new-system testing and data gathering and analysis
- Retrieve and direct after-hours voicemail messages for the Collections division
- Facilitate communication between administrative employees and management
- Assist with developing soft and hard skills of new and existing employees
- Perform other duties as assigned
Requirements
What you’ll need- Experience in performing clerical and/or administrative duties/responsibilities
- Experience in customer service, preferably in a financial institution
- Experience in leading, guiding and mentoring others
- Ability to work independently and in a team environment
- Ability to manage multiple priorities independently and/or in a team environment to achieve goals
- Ability to maintain confidentiality and demonstrate integrity
- Experience in de-escalating complaints and conflicts
