About the role
Key responsibilities & impact- Provide daily administrative support to the Senior Executive Director, Executive Directors, Vice Presidents, and Operations Leadership Team
- Manage complex calendars and schedule meetings, conferences, teleconferences, travel, and leadership training
- Prepare agendas, meeting materials, reports, presentations, letters, spreadsheets, mail merges, and other professional documents
- Assist with travel arrangements, event planning, meeting logistics, refreshments, and offsite support
- Manage contracts, CRM records, electronic files, paper files, and RFP formatting and printing
- Record meeting discussions and action items and maintain historical reference systems
- Answer phone calls and direct callers appropriately
- Develop, implement, and improve office policies and procedures
- Support HR with job descriptions, new employee orientation policy and benefit folders, presenter schedules, and organizational charts
- Support client services with customer communications, presentations, and team meetings
- Create and publish donor-related letters and assist physicians with publication editing and formatting
- Assist Marketing and Communications with RFP responses, holiday cards, and Town Hall presentations
- Provide periodic administrative support to Medical, Finance, and Laboratory Directors and assist with project or overflow work
Requirements
What you’ll need- High school diploma or GED
- Three years related experience demonstrating expertise as administrative assistant at executive level
- Demonstrated proficiency of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
- Excellent written and oral communication skills
- Strong organizational and time-management skills
- Demonstrated ability to work independently and as a team
- Strong attention to detail
- Knowledge of general office equipment, including printers, fax machine and telephone system
- Ability and willingness to work cooperatively with others
- Ability to maintain composure under pressure
- High degree of discretion dealing with confidential information
