About the role

Key responsibilities & impact
  • Own the CEO's diary end to end, prioritising requests, protecting focus time, resolving conflicts and adapting to changes
  • Organise Executive Leadership Team meetings, offsites and governance routines, including scheduling, agendas, materials, logistics, minutes and action follow-up
  • Plan and manage complex travel across Europe and beyond, including itineraries, visas where needed, accommodation and expense reporting
  • Prepare briefing notes, presentations and documents
  • Filter and prioritise incoming requests and draft correspondence on the CEO's behalf
  • Act as a trusted point of contact for executives, board members, investors, customers and partners
  • Represent the CEO Office with professionalism
  • Organise leadership and company events
  • Support special projects led by the CEO Office
  • Continuously improve CEO Office processes, including through AI and digital tools
  • Work closely with the Chief of Staff and executive team as an information, preparation and follow-up hub

Requirements

What you’ll need
  • At least 5 years of experience as an Executive Assistant to a CEO or C-level executive, ideally in an international, fast-moving company
  • Experience supporting senior executives in a demanding environment
  • Exceptional organisation and proactive ownership of complex diaries, travel and events
  • Ability to handle confidential and sensitive information with absolute discretion and sound judgement
  • Fluent English and French required
  • Clear and professional written communication
  • Ability to interact comfortably with board members, investors and executives and adapt tone to each audience
  • Highly proficient in Microsoft 365, including Outlook, Teams, PowerPoint, Word and Excel
  • Comfortable adopting new digital and AI tools
  • Strong advantage: experience in a private equity backed environment
  • Strong advantage: experience in a B2B SaaS, technology or automotive company
  • Strong advantage: a third European language such as Spanish, German, Dutch or a Nordic language
  • Strong advantage: experience supporting an executive team or CEO Office
