About the role

Key responsibilities & impact
  • Coordinate and plan professional services delivery to meet customer needs and business priorities
  • Optimize resource allocation, utilization, and scheduling across multiple regions and products
  • Coordinate consultants, customers, partners, subcontractors, and internal teams
  • Authorize invoicing of services delivered
  • Monitor service reports, attendance sheets, and related documentation
  • Track project-related purchases, including licenses and subcontracting
  • Communicate task planning and schedules to consultants
  • Monitor and track consultants’ skills and competencies
  • Provide information and guidance to customers, partners, and subcontractors
  • Prepare administrative documents and materials, including meeting minutes, emails, formal correspondence, and presentations
  • Facilitate information sharing within the department
  • Receive, screen, and route phone calls and messages
  • Perform ad hoc reporting
  • Contribute to monthly closing activities, including financial data for Finance and payroll variables for HR
  • Support a scalable Customer Center of Excellence across multiple products, languages, and regions

Requirements

What you’ll need
  • Experience in service planning, resource coordination, project administration, or professional services operations, preferably within a SaaS or software environment
  • Proven ability to plan and schedule service delivery by balancing customer demand, resource availability, and operational constraints
  • Experience supporting multiple projects, products, or regions simultaneously, ideally in an international or multi-market context
  • Familiarity with financial and administrative project follow-up, including invoicing, documentation, purchasing, and reporting
  • At least B2 in English and fluency in either French, German, or Dutch
  • Strong verbal and written communication skills
  • Good understanding of professional services delivery and software implementation lifecycles
  • Experience with planning, scheduling, or project management tools such as Jira, MS Project, Asana, Monday.com, or similar
  • Strong ability to work with data, reports, and documentation
  • Familiarity with service delivery KPIs such as utilization, capacity, delivery timelines, and service quality
  • Comfortable collaborating with Finance, HR, Product, and Delivery teams
  • Highly organized, structured, and detail-oriented, with a strong sense of ownership
  • Proactive and adaptable, able to manage changing priorities in a fast-paced environment
  • Customer-focused, collaborative, and solution-oriented approach
  • Ability to work confidently with multiple stakeholders and contribute to continuous improvement
