About the role
Key responsibilities & impact- Prepare, monitor, and support departmental budgets, including financial reporting, forecasting, expense tracking, and analysis
- Reconcile project expenses, review invoices and payment requests, track project costs, and maintain accurate financial records
- Administer departmental contracts, maintain contract records, monitor expiration and renewal dates, coordinate vendor documentation, and support contract compliance
- Assist the Safety & Security team with administrative support, including coordinating agendas, materials, meeting logistics, and follow-up activities for quarterly Safety Committee meetings
- Provide administrative support across Facility Operations, including developing and maintaining Statements of Procedure, preparing reports and presentations, maintaining departmental records, and supporting special projects
- Use Workday Financials and other company systems to process transactions, generate reports, and maintain financial and operational data
- Collaborate with internal stakeholders and external vendors to ensure timely completion of departmental objectives and projects
- Perform other related duties and special assignments as required
Requirements
What you’ll need- Bachelor's degree is required
- Minimum 3–5 years of experience in financial, administrative, operational support, facilities administration, or a related business environment
- Advanced proficiency with Microsoft Office applications, particularly Microsoft Excel, including Pivot Tables, formulas, data analysis, and reporting
- Experience preparing budgets, tracking expenses, reconciling accounts, and maintaining financial records
- Knowledge of contract administration processes and vendor management practices
- Strong organizational, analytical, and problem-solving skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision
- Demonstrated ability to maintain confidentiality and handle sensitive business information
