About the role
Key responsibilities & impact- Manage and optimize complex calendars for one or more busy executives
- Resolve scheduling conflicts and proactively prioritize commitments
- Serve as a liaison between executives and internal/external stakeholders
- Manage, prioritize, and triage incoming messages and correspondence
- Draft and edit communications on behalf of executives
- Develop a strong understanding of Norm Ai’s business priorities and their relationship to day-to-day decisions
- Organize and coordinate meetings, including preparing agendas and materials and capturing and distributing meeting minutes as needed
- Support planning and execution of conferences and team offsites
- Arrange executive travel, including flights, accommodations, dining, and transportation
- Prepare and manage travel itineraries and related documentation
- Support office operations by ordering supplies, coordinating vendors, and maintaining organized, well-stocked common areas
- Perform ad-hoc administrative tasks supporting executive effectiveness
Requirements
What you’ll need- Bachelor’s degree
- 5+ years of experience as an EA or similar role supporting executives in a fast-paced environment
- Excellent organizational and time management skills, with a resourceful mindset
- Strong written and verbal communication skills
- Proficiency in Google Workspace and ability to quickly learn new tools
- High attention to detail and accuracy
- Ability to handle sensitive and confidential information with discretion
- Proactive in identifying and improving inefficient processes
- Comfortable navigating changing priorities and ambiguity
- AI fluency and practical, hands-on experience using AI in day-to-day work
- Ability to demonstrate and discuss AI tools, workflows, and outcomes during the interview process
- Experience in high-growth startups (plus)
- Experience planning and managing events (plus)
