About the role
Key responsibilities & impact- Provide clerical, administrative, and process support
- Assist the Director and/or Department Leadership Team with document control, scheduling, meeting logistics, travel coordination, presentation development, and KPI tracking
- Prepare agendas and minutes and manage calendars for the Department Leadership Team
- Reconcile expenses and ensure expense reports are completed timely
- Plan off-site events, workshops, team-building events, parties, and holiday gatherings
- Coordinate catering with external food vendors
- Assist in managing the department’s SharePoint page
- Participate in peer-to-peer mentorship with other Operations Assistants
- Support production documentation creation and distribution
- Manage administrative projects and ensure timely completion
- Lead Good Housekeeping in administrative areas
- Prepare board meetings and presentations and lead management and department meeting preparation
- Attend administrative meetings and support cross-functional tasks and collaboration
- Handle internal and external inquiries and requests professionally and timely
- Oversee office supplies, equipment, and facilities and continuously improve processes using cLEAN tools
- Follow safety and environmental requirements
- Perform other duties as assigned
Requirements
What you’ll need- High School Diploma or equivalent required
- Associate's Degree in Business, Office Administration, or relevant field of study from an accredited university preferred
- Minimum of two (2) years of experience as an Administrative Assistant or Production Coordinator required
- Ability to read, write and understand complicated production & GMP documentation a plus
- Demonstrated proficiency in Microsoft applications (Word, Excel, Access, PowerPoint, Outlook, etc.) required
- Written & verbal communication skills to allow interaction will all levels of operations & management preferred
- Ability to organize GMP related documentation with exceptional attention to detail a plus
- Demonstrated ability to anticipate project needs to ensure all required assistance, support systems, & documentation is available preferred
- Ability to work in an open office environment with the possibility of frequent distraction
- Ability to travel up to 10% of the time
