About the role

Key responsibilities & impact
  • Provide high-level, organized, and detailed administrative support to the organization or executive
  • Proactively assess details, anticipate needs, and support daily operations
  • Assist with prioritizing deliverables, meeting deadlines, and preventing workflow bottlenecks
  • Conduct research, synthesize findings, and prepare, review, and refine written reports and presentations
  • Use Microsoft Teams to schedule and manage virtual meetings, deliver presentations, and facilitate collaboration
  • Use Teams breakout rooms, polls, and surveys to enhance engagement and productivity
  • Manage calendars and email communication using Microsoft Outlook
  • Use SharePoint for document management, version control, and team collaboration
  • Ensure secure and organized access to shared resources
  • Coordinate internal and external events as needed
  • Perform other duties as assigned

Requirements

What you’ll need
  • Located in Pacific Time Zone highly preferred
  • 5 years' experience supporting a CFO and/or other C-Suite executive in a complex, highly matrixed medium-to-large-scale organization
  • Intermediate to Advanced skills in MS Suites (Word, Excel, PowerPoint, Outlook); candidates may be tested
  • Experience with Adobe Acrobat, Concur, and Smartsheet preferred
  • Strong administrative, organizational, and customer service skills preferred
  • Experience with heavy scheduling and calendaring required
  • High level of EQ and ability to manage multiple competing priorities
  • Ability to work with constant interruptions, quickly adjust, pivot, and constantly realign tasks
  • High confidentiality and discernment required
  • Ability to type a minimum of 60 wpm net required
  • Ability to travel 2–3 times per year
  • Legally authorized to work in the United States on a permanent basis; no employment visa sponsorship
  • Completion of a 50–60-minute competency assessment required before team interview
  • English reading, speaking, writing, and comprehension
  • Ability to work independently and efficiently from a home office
  • High-speed internet service
  • Ability to work in a distraction-free workplace
  • Must be on camera for all virtual meetings
