Patient Access Representative

About the role
Key responsibilities & impact- Greet patients and guests courteously by telephone or in person
- Initiate appointment scheduling and complete patient check-in or admission processes
- Obtain and verify accurate patient identification and demographic data for medical records
- Perform point-of-service collections and patient registration/admission interactions
- Verify insurance electronically, by telephone, or through web applications
- Represent the company professionally and support multiple functions across patient and payer types
- Provide excellent customer service to patients, guests, and family members
- Create, activate, and complete scheduling, clinic registration, or hospital admission processes
- Ensure required forms and paperwork are complete and accurate
- Gather and enter patient/guarantor demographic and financial information
- Explain insurance benefits and collect co-pays, deductibles, and self-pay amounts
- Perform financial analysis and inform patients of financial responsibility
- Balance the cash drawer daily, prepare deposit slips, and complete end-of-shift cash drawer closing procedures
- Maintain respectful and cooperative staff relationships and help prevent or resolve interpersonal conflicts
- Adapt behavior, explanations, introductions, permissions, and communication style to specific patient populations
- Remain knowledgeable about applicable laws, accreditation standards, and regulatory requirements and ensure compliance
- Report known or suspected unethical conduct and patient, employee safety, privacy, or compliance concerns
Requirements
What you’ll need- High school diploma or equivalent required
- Associate’s degree preferred
- Minimum of 1 year of experience in a hospital, clinic, medical office, business services/revenue cycle, or other customer service-related environment
- Experience may include front line registration, financial counseling, banking, retail, or similar roles involving direct customer or patient interaction
- Must have computer skills and dexterity required for data entry and retrieval of information
- Effective verbal and written communication skills
- Proficiency with Windows-style applications, role-specific software packages, and keyboard
- Strong interpersonal skills
- Clerical skills and technical knowledge of healthcare insurance benefits, payor referral and authorization guidelines, and current Federal, State, and Local billing regulations
- Ability to solve practical problems and handle high-stress situations professionally
- Good organizational, time management, and conflict resolution skills
- Excellent decision-making and analytical skills with strong attention to detail
- Ability to work collaboratively with other departments
- Ability to exercise sound judgment in handling or escalating difficult situations
- Preferred certification in Healthcare Access Manager (CHAM), Healthcare Access Associate (CHAA), Medical Assistant, or another medical specialty-based certification
