About the role

Key responsibilities & impact
  • Own the daily operation of every OpenLoop physical office space
  • Lead office managers and administrators, including hiring, onboarding, coaching, scheduling, and performance management
  • Establish consistent playbooks, service standards, escalation paths, site check-ins, and reporting across locations
  • Provide executive and board workplace support, including meeting and offsite logistics, guest hosting, travel-day readiness, and preparation for executive meetings, board meetings, client visits, and leadership gatherings
  • Manage front-of-house and guest experience, including sign-in, badges, parking, building access, pantry stocking, catering, beverage programs, and event setup/breakdown
  • Manage landlord and property-management relationships, maintenance tickets, building access, HVAC, freight elevators, deliveries, lease compliance, emergency preparedness, and building security liaison activities
  • Own seating charts, desk occupancy, wayfinding, signage, office moves, space refreshes, reconfigurations, FF&E procurement, and office openings, expansions, and closures
  • Own meeting-room booking policies and AV readiness; coordinate AV audits, maintenance, issue triage, hardware setup, technology pilots, large-format meetings, trainings, and executive offsites
  • Manage vendors, contracts, renewals, performance, competitive sourcing, vendor registry, invoices, and preventative maintenance
  • Oversee office supplies, branded collateral, mail and courier services, onboarding workstations, welcome kits, badges, parking, orientation, employee events, and culture programming
  • Maintain OSHA, fire code, and ADA compliance; conduct safety inspections and manage first aid, AED supplies, emergency contacts, and floor warden assignments
  • Oversee physical and virtual mail, leasing and address changes, and the facility/address portfolio while coordinating with Legal, Compliance, Credentialing, and Finance
  • Manage the facilities, supplies, vendors, and hospitality operating budget; track monthly actuals, identify savings, process purchases and invoices, and report variances to the Director of Workplace Operations

Requirements

What you’ll need
  • 5+ years of experience in corporate or senior executive-facing support, office management, senior events coordination, or logistics with a significant customer-facing component, in a multi-faceted, fast-paced environment
  • Experience leading or supervising administrative, office, or operations staff, including staff at other locations, strongly preferred
  • Highly organized and detail-oriented, with strong time management and prioritization skills across competing sites and stakeholders
  • Proactive and resourceful, with the ability to anticipate needs and solve problems independently
  • Clear and professional written and verbal communication skills
  • Sound judgment around confidential and executive-level information
  • Comfortable working independently and leading cross-functional coordination in a fast-paced environment
  • Experience managing vendors, contracts, and an operating budget
  • Proficient in Microsoft Office Suite, Google Workspace, and Zoom or similar platforms
  • High level of customer service and strong attention to detail
  • Willing and able to travel between OpenLoop office locations as needed
