About the role

Key responsibilities & impact
  • Coordinate and administer the ACGME fellowship application review process
  • Manage fellowship interview scheduling, logistics, candidate communications, and post-interview ranking discussions
  • Ensure compliance with ACGME accreditation requirements and maintain fellowship documentation and reporting
  • Coordinate fellowship onboarding, credentialing, and orientation
  • Serve as a primary resource for prospective, current, and former fellows
  • Collaborate with faculty, institutional offices, and administrative stakeholders on fellowship programs
  • Coordinate visitor and volunteer requests and ensure onboarding-policy compliance
  • Manage medical student rotation schedules and serve as a contact for learners
  • Collaborate with OHSU Undergraduate Medical Education to facilitate elective rotations and support the ENT Interest Group
  • Coordinate the Sub-Internship Program, including applications, communications, scheduling, onboarding, and rotation planning
  • Collect, manage, and provide feedback and evaluations for medical students
  • Maintain learner-program records, documentation, and reporting
  • Coordinate departmental educational courses and laboratory training programs, including airway, temporal bone, and sinus dissection courses
  • Manage event logistics, registration, faculty coordination, vendors, educational materials, and on-site operations

Requirements

What you’ll need
  • Four years of general office or secretarial experience; OR an Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR a Bachelor’s degree and two years of general office or secretarial experience; OR an equivalent combination of training and experience
  • Intermediate skills with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to maintain the highest level of confidentiality and exercise discretion
  • Strong relationship-building skills
  • Exceptional customer service skills in person and by telephone
  • Exceptional interpersonal skills, conflict resolution, and problem-solving abilities
  • Active listening and supportive, professional behavior
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities, meet deadlines, and respond to urgent patient, physician, and system needs
  • Ability to work accurately without constant supervision
  • Reliable attendance, punctuality, and proven successful performance

  • Occasional in-office support, weekend, and evening hours required for event support
  • Preferred: previous travel-arrangement and interview-coordination experience
  • Preferred: previous event-coordination experience
  • Preferred: familiarity with academic educational programs
  • Preferred: administrative support experience for many managers, faculty, and/or staff
  • Preferred: experience in an academic clinic with high clinic volume and multi-line phones
  • EPIC scheduling and template-management experience preferred
