About the role
Key responsibilities & impact- Provide proactive day-to-day support to the General Counsel, Chief Operations and Risk Officer
- Manage complex diaries, schedule meetings, prepare agendas, coordinate papers, arrange travel, support expenses and prioritise competing commitments
- Own and coordinate administrative processes for legal, operations and risk functions
- Maintain trackers, shared mailboxes, distribution lists, files, records and templates
- Follow up on actions and ensure routine administration is completed accurately and on time
- Process invoices, raise and track purchase orders, liaise with Finance and vendors, monitor approvals and maintain spend and supplier records
- Coordinate internal and external meetings, prepare agendas and pre-read materials, take notes, track actions and decisions, and follow up with stakeholders
- Provide board and committee administrative support with the Company Secretary
- Assist with board and committee calendars, board pack preparation and circulation, version control, meeting logistics, approvals, signatures and governance trackers
- Manage workflow requests, update task boards, maintain document repositories and support process administration
- Prepare, format, review and circulate confidential documents, correspondence, reports, presentations and internal communications
- Ensure materials are accurate, well presented, appropriately filed and handled with discretion
Requirements
What you’ll need- Strong experience in a PA, executive assistant, team coordinator, board support or senior administrative role
- Experience providing senior executive, PA or administrative support, including complex diary management, meeting coordination and action tracking
- Strong administrative discipline, including maintaining trackers, organising documents, managing follow-ups and keeping processes moving
- Experience with invoicing, purchase orders, supplier administration, expenses or other finance-related administrative processes
- Excellent written and verbal communication skills
- Strong attention to detail and ability to produce clear, professional and accurate materials
- Confidence working with senior stakeholders, board materials and confidential information
- Sound judgement and discretion
- Strong systems capability, including Microsoft Office, Teams, SharePoint and workflow, ticketing or task management tools
- Practical, solutions-focused mindset with strong ownership and follow-through
- Ability to operate calmly at pace
- Proactive style and confidence anticipating needs, spotting gaps and bringing order to busy workflows
- Strong organisational resilience
- Collaborative style and credibility working across legal, operations, risk, finance, people, IT and senior leadership
