About the role

Key responsibilities & impact
  • Conduct pre-submission audits on home loan applications and verify supporting documentation.
  • Identify missing or inconsistent data, initiate corrections, and follow up with clients.
  • Prepare submission-ready loan packages for new home loans, refinancing, restructuring, top-ups, and refixes.
  • Ensure applications and client files meet internal quality standards and compliance protocols.
  • Provide clients with progress updates and explain requirements by phone and email.
  • Manage post-settlement reviews, refix reminders, birthday communications, and Google review requests.
  • Manage electronic client files, naming conventions, folder hierarchies, and version control.
  • Maintain records, file notes, and activity logs in MYCRM and NZFSG.
  • Audit pipeline files for missed deadlines, outstanding conditions, and compliance requirements.
  • Safeguard sensitive personal and financial data.
  • Coordinate with lenders, banks, conveyancers, solicitors, real estate agents, and valuers.
  • Support advisers with lending option summaries, strategy preparation, and client meeting documentation.
  • Manage the Company Director’s inbox, calendar, appointments, and client contact database in Microsoft Outlook.
  • Contribute to continuous improvement of checklists, procedures, and administrative workflows.

Requirements

What you’ll need
  • Demonstrated background in New Zealand mortgage administration, loan processing, broker support, or banking/financial services administration.
  • Proven, hands-on experience utilizing MYCRM and NZFSG platforms is strictly required.
  • Deep working knowledge of the New Zealand residential home-loan application lifecycle and document verification standards.
  • Superior written and verbal English communication skills with a professional telephone manner and uncompromised numerical accuracy and attention to detail.
  • Reliable high-speed internet connection, a dedicated quiet home-office setup, and availability to work aligned with New Zealand business hours.
  • Advanced familiarity with lender submission portals, valuation ordering systems, pricing requests, settlements, and discharge workflows preferred.
  • Demonstrated experience handling complex file structures including refinancing, loan restructuring, top-ups, and refixes preferred.
  • Prior experience managing director-level calendar management, client review schedules, and proactive refix retention campaigns preferred.
  • Formal qualifications in Financial Services, Business Administration, or related disciplines preferred.
  • Methodical, detail-oriented mindset; outstanding time management; proactive problem-solving; client-first work ethic; and comfort with Microsoft 365/Google Workspace, CRM software, and workflow trackers.
