About the role

Key responsibilities & impact
  • Review and approve transactions related to the Regional Business Office’s financial activities
  • Process procurement, reimbursements, payment requests, Service Provider Classification requests, Procards, journal entries, and contract invoicing
  • Manage, process, and ensure timely completion of HR and payroll activities
  • Process weekly payroll and one-time payments in Workday
  • Run reports, create job requisitions, and complete onboarding for new hires
  • Provide backup for Graduate Student Funding and monthly payroll
  • Identify, address, and remedy financial and HR-related issues
  • Support compliance, continuous improvement, and client satisfaction
  • Reconcile endowment, gift, operating, and discretionary fund accounts
  • Prepare and review reports for faculty and departments, programs, and centers
  • Assist with pre- and post-award grants management
  • Support proposal and budget development
  • Prepare and enter budget journals upon receipt of the AIS
  • Monitor and review expenses and run financial reports
  • Participate in School-wide and University initiatives
  • Perform other duties and responsibilities as assigned

Requirements

What you’ll need
  • Bachelor of Science and 3 to 5 years of experience or equivalent combination of education and experience is required
  • Excellent critical thinking, analytical, verbal and written communication is required
  • Ability to apply solid organizational and time management in a deadline-driven, multiple-priority work environment is required
  • Familiarity with UPENN financial and HCM systems (BEN Financials, Business Objects, Concur and Workday) is preferred
  • Experience with federal granting agencies
  • Familiarity with UPENN sponsored research policies and related financial systems is a plus
  • Strong customer service skills and ability to clearly communicate policies to faculty, staff and students
  • Ability to work in a frequently changing environment and function as part of a team
  • Advanced proficiency in Microsoft Excel and Adobe applications
  • Ability to quickly learn new software applications
  • Background checks may be required after a conditional job offer
