About the role

Key responsibilities & impact
  • Manage an assigned portfolio of customer accounts across the U.S. and Canada
  • Monitor past-due balances, contact customers by phone and email, secure payment, confirm payment dates, and resolve payment delays
  • Complete collection worklists in YayPay and maintain accurate notes, promises to pay, workflows, follow-up dates, and account status information
  • Investigate payment delays involving invoices, remittances, customer portals, EDI, invoice-transmission issues, deductions, and unapplied cash
  • Reconcile customer accounts and coordinate with Cash Applications to apply payments and adjustments accurately
  • Review and evaluate customer credit during onboarding and ongoing account management
  • Recommend credit limits and payment terms and coordinate with external credit agencies
  • Partner with Sales on credit limit increases, payment term changes, held-order releases, and one-time exceptions
  • Manage customer chargebacks and deductions, including researching claims, validating documentation, disputing invalid claims, and pursuing recovery
  • Coordinate with Logistics, Sales, Customer Service, Sales Operations, customers, and other internal teams to resolve disputes
  • Monitor aging and status of chargebacks and receivables and escalate high-value, high-risk, or aging issues
  • Maintain documentation of collection activity, credit reviews, credit decisions, order releases, correspondence, disputes, and outcomes
  • Provide support for collections, credit, chargebacks, account status, and payment inquiries
  • Complete additional duties and special projects as assigned

Requirements

What you’ll need
  • 3-5+ years of experience in business-to-business credit and collections, customer credit analysis, chargebacks/deductions, or accounts receivable, preferably supporting high-volume retail customers
  • Experience evaluating customer credit, working with external credit agencies, and making or supporting credit limit and payment term recommendations preferred
  • Experience managing customer chargebacks and deductions, including researching claims, gathering supporting documentation, submitting disputes, and pursuing recovery preferred
  • Experience with SAP and customer portals such as Walmart, Costco, Target, and Amazon preferred
  • Strong Excel and Microsoft Office proficiency
  • Excellent verbal and written communication skills
  • Strong attention to detail, accuracy, organization, and ability to manage multiple priorities and deadlines
  • Strong analytical and problem-solving skills
  • Professional, confident, collaborative, and customer-focused
  • Ability to adapt to shifting priorities and thrive in a fast-paced, team-first, high-energy environment
