About the role

Key responsibilities & impact
  • Report directly to the US Hospital Portfolio Lead
  • Drive and manage key operational projects and continuous improvement activities
  • Provide administrative support to Portfolio, PCO and MarCom Leads and team members
  • Review schedules, events and assignments with assigned leadership team members
  • Plan and support meetings, events, team buildings, trainings and external stakeholder meetings
  • Ensure required meeting materials and technology are available and operational
  • Process and track invoices and purchase orders
  • Coordinate travel arrangements, prepare itineraries and submit expense reports
  • Perform credit card reconciliation
  • Maintain calendars, anticipate conflicts and resolve scheduling issues
  • Schedule and coordinate meetings across time zones and distribute/store meeting information
  • Manage projects and ad-hoc assignments
  • Create spreadsheets, tables, charts, templates and presentation materials
  • Edit, type, file and proofread documents; maintain spreadsheets, tables and charts; run monthly reports
  • Copy, format and distribute materials
  • Purchase and track office supplies and equipment through Pfizer systems and ARIBA
  • Maintain purchase records, including contractor and consultant records, purchase orders and receipts
  • Support office supplies, equipment and cell phone administration
  • Provide administrative support for employee onboarding and technical issue follow-up
  • Coordinate space requirements, cross-site access and support across global sites

Requirements

What you’ll need
  • HS Diploma required and 4 years of related administrative business experience
  • Strong knowledge of Ariba, Travel & Expense, Teams, Box, and Yammer
  • Experience and proficiency in Microsoft Word, Excel and PowerPoint
  • Positive, team-oriented self-starter able to execute responsibilities with limited day-to-day supervision
  • Strong track record for meeting personal and team goals
  • Ability to perform complex administrative duties and track multiple tasks
  • Attention to detail
  • Excellent oral and written communication and organizational skills
  • Sensitivity when handling confidential information
  • Advanced computer skills, including advanced knowledge of Microsoft Office applications (Word, PowerPoint, Outlook, Teams)
  • Ability to navigate internal organization/processes
  • Travel required approximately 15% of the time based on business need
  • Must be authorized to be employed in the U.S. by any employer
  • Permanent work authorization in the United States required; U.S. work visa sponsorship is unavailable
