About the role

Key responsibilities & impact
  • Provide administrative, general clerical and related operational support to the clinic
  • Screen and prioritize incoming correspondence and clinic mail
  • Maintain appointment calendars, schedules and clinic booking systems
  • Arrange meetings, take minutes and compose correspondence
  • Handle clinic reception and answer general inquiries via the general information email account
  • Provide program and policy information and refer problems to the Supervisor or Program Leader
  • Assist with client intake, obtain information and complete admission documentation
  • Schedule and confirm clients for services and maintain waiting lists
  • Input client information, prepare and maintain client charts, registers and databases
  • Prepare medical and other reports, forms, tables, letters and presentation materials
  • Perform records management, filing, indexing and file searches
  • Assist with development and interpretation of worksite policies and procedures
  • Authorize pre-approved expenditures and process billings
  • Monitor expenditures, inventories, requisitions, purchase orders, supplies, equipment and invoices
  • Arrange building maintenance and cleaning and oversee minor modifications or renovations
  • Assist with site security, incident reporting, surveillance video access and emergency services
  • Orient new staff to office/clinic functions, records management and clinic flow
  • Maintain timekeeping, attendance, timesheets and payroll records and respond to payroll inquiries
  • Arrange couriers, call taxis and distribute client vouchers
  • Liaise with IMITS and Facility Management
  • Perform other related duties as assigned

Requirements

What you’ll need
  • Grade 12, supplemented with standard commercial and related computer courses, medical office assistant course from a recognized institution, plus three (3) years' recent, related experience, or an equivalent combination of education, training and experience
  • Proficient with computers and able to learn and manage new technology systems
  • Proven word processing skills and ability to create and work with spreadsheets, Microsoft Office documents and clinical databases
  • Ability to type 40 wpm
  • Business writing skills
  • Knowledge of medical terminology
  • Knowledge of office and community clinic management principles and practices
  • Ability to maintain effective working relationships with employees, patients, service providers and the general public
  • Ability to explain clinical contracts, clinic procedures and regulations
  • Ability to maintain confidentiality and communicate effectively verbally and in writing
  • Ability to work under pressure, multitask, problem-solve, take initiative, anticipate potential problems/conflicts, organize and prioritize workload, and meet deadlines
  • Ability to supervise maintenance of complex clinical records and prepare statistics/narrative reports
  • Ability to assist staff with basic troubleshooting related to technology systems
  • Ability to work as part of a team and participate in meetings
  • Ability to operate standard office equipment
  • Ability to direct building trades/maintenance, direct repairs and provide recommendations on renovations/upgrades/repairs
  • Physical ability to carry out the duties of the position
  • Testing may be required
  • A criminal record check may be required
