About the role

Key responsibilities & impact
  • Receive department phone calls and field queries politely and professionally
  • Support Specialists with administrative and office duties
  • Make travel arrangements using the approved travel agency and company travel guidelines
  • Submit Specialists’ expense reports using the standard platform and finance-team timescales
  • Coordinate meetings, invitations, appointments, calendars, and internal and external meetings
  • Assist with appraisals and consignment proposals across multiple departments
  • Maintain fluency in Phillips’ internal systems
  • Coordinate and track valuations, consignment proposals, opportunities, contracts, KYC, supporting documentation, outstanding actions, post-sale actions, and shipping
  • Liaise with specialists and relevant departments for UHNW collectors and institutions
  • Maintain client and opportunity pipelines and conduct client and prospect research
  • Coordinate outreach, follow-ups, client visits, regional trips, proposals, and cross-departmental business development activities across the Middle East and South Asia
  • Complete sale-related tasks across departments and assist with major proposals
  • Proofread valuations for final sign-off
  • Collaborate with Phillips departments and external organisations
  • Work at auctions, including telephone or online bidding and bid clerking
  • Perform ad-hoc duties to ensure seamless service across the function

Requirements

What you’ll need
  • Proactive self-starter
  • Strong, positive, and polite interpersonal skills
  • Ability to communicate professionally with a wide variety of stakeholders
  • Excellent client relations skills
  • Computer literate
  • Proficient in Microsoft Office Software (Excel, Outlook, Word and PowerPoint) (desirable)
  • Previous experience in a similar background
  • Experience with external client-facing interaction (desirable)
  • Art History background (desirable, not a requirement)
  • Flexibility with working hours, including some evenings and weekends when business needs require
  • Ability to work primarily within an office environment at the London, Berkeley Square location
