About the role

Key responsibilities & impact
  • Support day-to-day operations and management of the Budget & Resource Operations team within External Affairs
  • Provide budget and operational support across External Affairs
  • Supervise a Senior Specialist, including direction, coaching, prioritization, workload management, and quality control
  • Liaise with Procurement, Finance, and Program teams on contracting documents, payments, grants, sponsorships, and invoices
  • Support accurate entry of contracts, grants, memberships, honoraria, and sponsorships in internal systems
  • Track contract workflows and proactively resolve delays or errors
  • Streamline contracting and payment processes
  • Ensure compliance with internal policies and external requirements
  • Track budget commitments and review monthly commitments across External Affairs verticals
  • Flag budget discrepancies and coordinate timely follow-up with stakeholders
  • Support development and rollout of process guidance and staff training
  • Build cross-functional relationships and provide responsive support to program teams
  • Contribute to a positive, effective, and transparent operations culture
  • Provide logistical and administrative support for special projects
  • Report to the Director, Strategic Operations

  • Strong financial and budget management skills, including tracking spend, commitments, forecasts, variances, and payment status
  • Demonstrated experience supervising, coaching, or coordinating staff work and managing workflows, priorities, and competing deadlines
  • 5+ years of operational experience
  • Demonstrated ability to analyze and improve organizational processes and improve quality, productivity, and efficiency
  • Experience with Coupa and PPGrants/internal systems
