About the role

Key responsibilities & impact
  • Maintain the Vancouver office and support office management across all offices
  • Manage building manager and maintenance team relationships and service requests
  • Order and maintain equipment; receive mail; manage deliveries, shipping, tidying, and plants
  • Support lease, contract, and vendor management
  • Coordinate in-person events and activities, including setup and onsite support
  • Administer keys and office tours
  • Support event planning and coordination of approximately four events per year
  • Manage company devices and archival technology/processes
  • Administer employee milestone, appreciation, and professional development programs
  • Book company travel and accommodation and reconcile expenses
  • Draft and proofread documents; manage documents and templates
  • Support special operations projects, employee communications, and all-staff meetings
  • Communicate cheque arrivals and make bank deposits
  • Support company credit card management
  • Track and bill company expenses, administer accounts payable, and reconcile receipts and transactions
  • Execute purchasing under the Operations & Finance Manager’s direction
  • Support paid media buys by checking contracts and tracking and paying invoices
  • Assist with inputs for monthly financial statements
  • Support recruitment, hiring, performance management, onboarding, and offboarding administration
  • Manage HRIS and records, payroll changes and documentation, and union communications
  • Monitor performance evaluations and assist with HR inquiries and employee communications
  • Support DEI-related improvements to HR systems, processes, and documentation
  • Provide administrative support to the Joint Labour Management Committee
  • Administer the employee benefits program and answer standard employee questions
  • Support leadership meetings through scheduling, meeting links, slide decks, notes, outcomes, and action items
  • Provide research, reporting, and special-project support
  • Perform other duties as assigned

Requirements

What you’ll need
  • 1-3 years of relevant professional and/or volunteer experience or equivalent combination of education and professional and/or volunteer experience
  • Comfort working with numbers
  • Strong working knowledge of spreadsheet basics and logic, including data entry and formatting, error correction, and simple formulas
  • Proficient computer skills and ability to learn new programs/software
  • Initiative, proactivity, and communication
  • High attention to detail and organization
  • Strong verbal and written professional communication skills in English
  • Ability to prioritize multiple tasks and meet deadlines
  • Ability to handle confidential information with integrity and discretion
  • Based in Vancouver, BC
  • Ability to travel to the Gastown office building
  • Willingness to work onsite in person 1-2 times per week and ad hoc for special events
  • Willingness to comply with Point Blank’s Communicable Disease Prevention Policy and active public health mandates
