About the role

Key responsibilities & impact
  • Assist Project Managers and operations staff with administrative functions
  • Enter purchase orders after receiving the Bill of Materials from Project Managers
  • Track order confirmations
  • Maintain vendor information
  • Liaise with the Accounting team to ensure operations team compliance
  • Interface with Accounts Payable regarding material procurement, receipt, and handling
  • Assist with pay applications
  • Enable or assist with end-of-project closeout deliverables, including warranties and O&M manuals
  • Enable or assist Project Managers with project deliverables, including product data submittals, job-specific safety certifications, and job-specific badging
  • Schedule training and maintain training records
  • Serve as backup to the Warehouse Associate and perform general receiving duties as needed
  • Work primarily in an office setting using computers and standard office equipment

Requirements

What you’ll need
  • High School Diploma or GED Equivalent
  • At least 3 years relevant administrative experience
  • Exceptional written and verbal communication skills
  • Ability to hold others accountable to completing their assigned tasks, even if they hold positions of greater responsibility
  • Fluency with Microsoft Office 365 software tools
  • Willingness to take on new challenges and build on current skills
  • Exceptional analytical and conceptual thinking skills
  • Capacity to work independently and collaboratively
  • Ability to work efficiently without compromising quality or accuracy
  • Employment contingent upon successful completion of background investigation and pre-employment drug screen
  • Preferred: 3 years of administrative experience in construction or project-based industry
  • Preferred: Familiarity with Microsoft 365
