About the role

Key responsibilities & impact
  • Support day-to-day project management under the direction of more senior team, ensuring smooth communication and efficient delivery of client work in line with SOPs
  • Collaborate with studio, editorial, and creative teams to coordinate timely project delivery
  • Support organic account growth through quality delivery of assigned accounts
  • Build understanding of the pharmaceutical industry, medical communications sector, and relevant compliance frameworks
  • Develop and manage project timelines, update status trackers, and flag risks or issues to the SAM/AD
  • Coordinate live, virtual, and hybrid events, including logistics, materials, registrations, and supplier liaison
  • Coordinate print and shipping and support development of on-site packs and pre-meeting materials
  • Process copyright permission approvals and reference purchasing; order and file references
  • Maintain organized project folders and consistent file naming and sharing practices
  • Perform online and database searches for journal and congress information
  • Track time accurately and record it weekly
  • Flag financial or timeline concerns to the SAM/AD
  • Deliver high-quality client experiences and maintain professional interactions
  • Build relationships with client contacts, authors, and key opinion leaders
  • Prepare client meeting contact reports and status sheet updates
  • Communicate proactively with clients and internal teams in accordance with SOP communication guidance
  • Create and maintain database and approvals management records
  • Upload, track, and maintain approval records according to quality-control workflows
  • Ensure database records meet Good Publication Practice guidelines with a complete audit trail
  • Support Publication Platform audits
  • Identify inconsistencies or missing information and work with internal teams to resolve issues

Requirements

What you’ll need
  • Organised and reliable, with strong attention to detail
  • Effective communication skills, both verbally and in writing
  • Ability to effectively manage time and deliver work to agreed deadlines
  • Ability to prioritise and manage multiple projects independently while maintaining accuracy in a fast-paced agency setting
  • Proficiency in MS365 including Word, PPT, Excel, Outlook and Teams
  • Professional, adaptable, and proactive approach to supporting team and client needs
  • Ability to demonstrate curiosity, initiative, and accountability for continuous learning and improving team efficiency
  • Flexibility to work from the Knutsford or London office hybrid (2x in office per week)
