About the role

Key responsibilities & impact
  • Serve as the single point of ownership for coordinating OG events, including details, timelines, materials, internal coordination, and follow-up.
  • Build and manage event plans and checklists covering milestones, owners, deadlines, logistics, and deliverables.
  • Coordinate venues, registration, attendee communications, booth and presentation materials, shipping, travel details, and on-site needs.
  • Align Sales, Partnerships, leadership, and subject matter experts on roles, schedules, and responsibilities.
  • Manage post-event lead and contact capture, follow-up communications, recap summaries, and lessons learned.
  • Partner with the Director of Marketing to execute campaigns and keep activities, deliverables, and timelines moving.
  • Track campaign tasks and deadlines, flag risks or delays, and follow up with contributors.
  • Coordinate production and review of emails, social posts, webinars, collateral, and website updates.
  • Support campaign launch readiness by confirming materials, approvals, audiences, and channels.
  • Maintain campaign tracking and reporting inputs, including activity logs and Salesforce campaign data.
  • Own and maintain the overall marketing calendar across events, campaigns, social media, content, and other activities.
  • Identify scheduling conflicts, capacity constraints, or gaps and raise them early.
  • Organize marketing files, templates, asset libraries, and documentation.
  • Coordinate with Sales, Partnerships, and other Healthcare and Life Science teams.
  • Serve as a point of contact for marketing requests and clarify needs, timelines, and next steps.
  • Manage day-to-day coordination with marketing vendors, including requests, quotes, timelines, deliverables, and invoices.
  • Order, track, and manage marketing materials, printed collateral, promotional items, inventory, and shipping.
  • Schedule meetings, reviews, and working sessions.
  • Track marketing spend, purchase requests, and activity against plan.
  • Improve marketing processes, checklists, and workflows.

Requirements

What you’ll need
  • 2–4 years of experience in marketing coordination, event coordination, project coordination, or a related operational role, preferably in a B2B, professional services, healthcare, life science, or technology environment.
  • Demonstrated experience coordinating events, conferences, or programs with many moving parts, stakeholders, and deadlines.
  • Experience supporting marketing campaigns or content production from planning through launch and follow-up.
  • Experience working with vendors, managing orders, and tracking deliverables and budgets.
  • Proficiency with Microsoft 365 or Google Workspace, project management tools, and virtual collaboration tools.
  • Experience with Salesforce, marketing automation, social media scheduling, or content management tools is a plus.
  • Healthcare or life science industry experience preferred.
  • Bachelor’s degree in marketing, communications, business, or a related field, or equivalent experience.
  • Experience working successfully in a remote environment preferred.
  • Exceptionally organized, with the ability to manage many details, deadlines, and priorities at once.
  • Proactive and self-directed; anticipates needs, identifies issues early, and acts without waiting to be asked.
  • Highly detail-oriented, with a strong commitment to accuracy and quality.
  • Reliable follow-through; takes ownership of tasks and sees them through to completion.
  • Must be legally authorized to work in the United States without sponsorship.
