About the role

Key responsibilities & impact
  • Own event food and beverage planning, including menus, orders, reservations, dietary restrictions, setup, restocking, and cleanup
  • Manage hotel blocks, event tickets, shuttles, rentals, deliveries, reservations, and other event logistics
  • Build and manage Swoogo registration paths, forms, confirmation emails, attendee tracking, and event pages
  • Draft and send invitations, RSVP communications, “Know Before You Go” emails, and post-event follow-ups
  • Manage surveys, follow up on incomplete responses, organize results, and pass leads to sales
  • Provide on-site support at all events, including setup, reception, photography coordination, errands, and event-day execution
  • Maintain event project plans and checklists in Monday.com; track deadlines and flag issues
  • Build, proof, and schedule newsletters using Pardot and Beefree
  • Source and recommend newsletter content, including member news, vendor highlights, and industry updates
  • Create and schedule social media graphics, copy, and video posts; maintain the social calendar and monitor engagement
  • Update and maintain the ProSource member portal
  • Maintain the marketing calendar and handle event, marketing, vendor, and attendee communications
  • Assist with additional marketing and event projects and one-off tasks
  • Represent the company professionally and ensure outgoing communications are accurate and polished

Requirements

What you’ll need
  • One to three years of experience in events, marketing, communications, hospitality, or a related detail-oriented field
  • Exceptional organizational skills and follow-through
  • Strong written communication skills with excellent spelling, grammar, and proofreading ability
  • Experience with email marketing platforms (Pardot or comparable) is preferred
  • Willingness to learn Swoogo, Monday.com, Optimizely, Formstack, and Beefree
  • Experience creating and scheduling social media content across platforms
  • Comfort with event-support physical requirements, including standing, errands, grocery runs, food setup, and long event days
  • Proficiency with Microsoft Office and ability to learn new software quickly
  • Genuine service orientation and teamwork mindset
  • Discretion and professionalism with confidential information, executive communications, and vendor/member relationships
  • Basic graphic design skills (Canva, Adobe Creative Suite, or similar) are a plus
  • Familiarity with the consumer electronics, custom integration, or AV industry is a plus
  • Willingness to work flexible hours, including evenings and weekends during events
