About the role
Key responsibilities & impact- Support drafting of donor proposals and reports
- Prepare and distribute gift acknowledgement letters
- Update donor records, including gift information, contact information changes, and event attendance
- Process Boston mail and prepare checks received for deposit
- Coordinate small-scale mailings and other donor correspondence
- Respond to general phone and email inquiries
- Collaborate with the CEO and EVP, Development to establish efficient board administration systems
- Serve as the primary contact for board member informational inquiries
- Arrange and coordinate board-related meetings; attend meetings to provide support and take minutes
- Coordinate with senior leadership to produce meeting agendas and board books
- Implement board and director records required for compliance with bylaws and applicable regulations
- Maintain the central repository of board records in Boardable and Salesforce
- Facilitate communication and information sharing for board meeting invitees and presenters
- Maintain confidentiality of board matters and cultivate respectful board relationships
- Coordinate external meetings for the CEO and EVP, Development
- Support day-to-day operations of the Boston office, including office supplies, mail, shipping, and deliveries
- Coordinate with building management, cleaning services, and other vendors
- Maintain shared office spaces, conference rooms, and office and kitchen supplies
- Provide logistical support for Boston-based meetings, staff gatherings, and visitors
Requirements
What you’ll need- Excellent verbal and written communication skills with strong interpersonal abilities
- Ability to manage multiple high-priority projects with multiple stakeholders simultaneously
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
- Strong computer skills, including Microsoft Office, Google Drive, and database management
- Experience with customer relationship management (CRM) software
- Ability to work both collaboratively and independently in an open office environment
- Demonstrated ability to learn and operate multiple new systems and software
- Experience with Boardable or similar board management platforms is a plus
- High school degree or GED required
- Prior experience in nonprofit development, administrative support, or board coordination preferred
- Familiarity with public media or mission-driven organizations is a plus
