About the role

Key responsibilities & impact
  • Answer incoming phone calls, emails, and inquiries from families, referral sources, and stakeholders
  • Provide general program information and clarify admissions or referral process next steps
  • Review authorized client records, including admission status, appointment times, assigned clinician, and discharge plans
  • Direct callers to appropriate departments or staff members
  • Gather accurate information and provide timely follow-up calls or emails
  • Maintain a calm, empathetic, solutions-focused demeanor during emotionally charged conversations
  • Document calls, messages, and follow-ups in the electronic health record or customer management system
  • Log contact information, call outcomes, and follow-up actions accurately
  • Coordinate with admissions, clinical, medical, billing, and other internal departments
  • Maintain updated knowledge of programs, services, and points of contact
  • Exercise discretion and maintain confidentiality
  • Complete required training and perform other assigned duties

Requirements

What you’ll need
  • Must reside in the state of Pennsylvania
  • High School diploma required
  • Bachelor’s degree preferred
  • Experience in administrative functions preferred
  • Experience within the behavioral healthcare field preferred
  • Strong verbal and written communication skills; able to interact with empathy and professionalism
  • Proficient in data entry and able to learn electronic systems quickly
  • Strong attention to detail, organization, and follow-through in a remote work environment
  • Ability to manage sensitive information and maintain confidentiality
  • Ability to work collaboratively with internal teams and adapt to changing needs and priorities
  • Completion of all required trainings as designated by the company and accreditation/licensing entities
  • Ability to sit for extended periods, talk, hear, and use standard office equipment
  • Minimal lifting up to 10 pounds may be required
