About the role
Key responsibilities & impact- Coordinate projects and related tasks supporting the COO and executive functions across QAD globally
- Support ad hoc analysis and documentation preparation
- Create content and execute communication tasks
- Manage complex executive calendars across multiple time zones
- Coordinate meeting requests and prioritize executive schedules
- Prepare and submit executive expense reports
- Draft correspondence, presentations and documents, including confidential communications
- Organize domestic and international travel, itineraries, visas, accommodation and logistics
- Prepare agendas, briefing materials and meeting documentation
- Organize internal and external meetings, reminders, logistics and content
- Handle executive correspondence and follow up on action items
- Monitor executive action items and ensure completion
- Manage calendars, meeting requests, budgets and travel spend
- Act as point of contact among executives, employees and external partners
- Work closely with FP&A
- Build relationships with counterpart Executive Assistants and key stakeholders
- Identify and implement process or AI-enabled improvements
Requirements
What you’ll need- 3 years or more experience in executive support or administrative support areas
- Experience supporting C-level executives within a fast-paced, global organization is highly desirable
- Strong project coordination skills
- Strong organizational skills and ability to prioritize multiple tasks with excellent attention to detail
- Strong analytical skills
- Ability to work independently and as part of a team
- Ability to handle confidential information with discretion
- Excellent written and spoken English
- Excellent Microsoft Office skills, including Outlook, Excel and PowerPoint
- Advanced proficiency with Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets, Google Slides, Google Drive and Google Chat
- Experience using Google Meet and Microsoft Teams
- Excellent time management skills
- Ability to work over various time zones
- Trustworthy, professional, discreet, calm under pressure, proactive, resourceful, adaptable, dependable and detail-oriented
