About the role

Key responsibilities & impact
  • Provide operational, administrative, first- and second-level customer support for procurement and contract management systems
  • Act as the first point of contact for procurement-related enquiries
  • Guide stakeholders on procurement policies, procedures, systems and operational processes
  • Complete daily procurement, contract management, fleet administration and other operational activities accurately and promptly
  • Support low-value, low-risk self-service procurement activities, including AI-enabled tools
  • Monitor systems and liaise with stakeholders to detect and resolve operational issues
  • Support contract execution through DocuSign and review supporting documentation for compliance
  • Maintain contract records, monitor expiries, establish reminders and support renewals, extensions and variations
  • Produce contract management and expiry reports
  • Support procurement reporting obligations and information preparation for Commonwealth agencies
  • Review and progress procurement requisitions with Purchasing and business stakeholders
  • Administer fleet services, shared mailboxes and external service-provider relationships
  • Manage compliance, fraud and risk in line with Bank policies
  • Assist with system changes, testing, verification and continuous improvement initiatives
  • Maintain contingency arrangements for systems, operations, customers and stakeholders
  • Support administration and maintenance of the Contract Management System, including configuration, user support and data quality

Requirements

What you’ll need
  • Ability to contribute to improving business processes and increasing efficiency and effectiveness
  • Basic level of experience resolving problems within service levels
  • Knowledge of procurement, contract management, governance and compliance processes, or ability to rapidly acquire this knowledge
  • Training or experience in transactional processing, working to procedures and separation of duties concepts
  • Strong personal resilience and professional approach in a fast-paced environment with competing priorities and changing demands
  • Basic knowledge of customer support principles and processes
  • Ability to review documentation and assess compliance with policies, procedures and operational requirements
  • Experience working with AI tools and business or procurement systems
  • Strong attention to detail and organisational skills
  • Ability to manage multiple tasks simultaneously
  • Ability to identify, manage and escalate operational, compliance and risk-related issues
  • Experience using Microsoft Office applications and business systems
  • Experience with procurement, contract management or workflow systems is desirable
