About the role

Key responsibilities & impact
  • Provide comprehensive administrative and coordination support to the Facilities Maintenance Supervisor and skilled trades team
  • Support maintenance, repairs, preventative maintenance, vendor, purchasing, and work-order activities for RCSC facilities
  • Input and process department vendor invoices into the company invoice system
  • Assign and maintain work orders for skilled trades staff and vendors; track status and completion
  • Organize and maintain office files, work orders, maintenance records, vendor records, equipment records, service records, and operational documents
  • Coordinate administrative details for maintenance and repair activities, including vendor scheduling, facility access, documentation, and follow-up
  • Procure office supplies, materials, equipment, and other authorized items
  • Assist with annual repair and maintenance, preventative maintenance, operating budgets, and related capital needs
  • Prepare and submit maintenance, work-order, departmental progress, and status reports
  • Ensure department documents are complete, current, and properly stored
  • Maintain cross-training with the Facilities Project Administrator - Projects and provide coverage during absences
  • Participate in required safety training, prioritize safe work practices, and perform additional relevant duties as assigned

Requirements

What you’ll need
  • High school diploma required
  • Bachelor's degree in business administration, project management, or a related field preferred
  • Minimum of two years of experience in office administration, preferably in a facilities, maintenance, construction, or skilled-trades environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Access)
  • Possession of a valid State of Arizona driver's license
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Excellent attention to detail and adaptability to shifting priorities
  • Ability to work independently with minimal supervision while maintaining strong communication with team members
  • High level of professionalism, confidentiality, and discretion
  • Ability to work Monday through Friday, 6:00am–2:30pm
