About the role
Key responsibilities & impact- Administer the COO’s schedule by prioritising and rescheduling appointments
- Identify and resolve scheduling overlaps at least two weeks in advance
- Balance meetings with focus time and preparation periods
- Organise virtual and in-person meetings, including room bookings, catering, and equipment logistics
- Liaise with internal and external stakeholders regarding objectives, attendees, and meeting requirements
- Manage end-to-end travel arrangements, including flights, accommodation, and transport, for the COO and broader executive team
- Coordinate short-term accommodation and travel profiles for new joiners and visiting guests
- Provide ad-hoc executive support while maintaining confidentiality and professional discretion
- Collaborate with the Business Support Manager to ensure seamless handovers and alignment with organisational standards
Requirements
What you’ll need- National Senior Certificate is essential
- 5–8 years of experience as an Executive Assistant, Virtual Assistant, or in a senior administrative capacity
- Proven track record of supporting C-Suite or senior leadership teams
- Demonstrated expertise in managing intricate executive calendars
- Experience organising multi-leg travel itineraries
- Gauteng-based or near Pretoria to facilitate hybrid needs
- Preferred: relevant tertiary qualification in Business Administration or Office Management
- Preferred: prior experience in a fast-paced corporate environment
- Advanced Microsoft Outlook skills
- Microsoft Teams proficiency
- Microsoft Office Suite proficiency, including Word, Excel, and PowerPoint
