About the role

Key responsibilities & impact

Manage, maintain, and troubleshoot company IT systems, software, email accounts, and technical infrastructure
Maintain secure inventories of IT systems, administrator accounts, credentials, software licenses, and vendor access
Manage user permissions, MFA, account recovery, and system access controls
Administer the organization's Zoho suite, including Zoho Desk, Cliq, Workplace, Forms, Sheets, People, Campaigns, and Sign
Create and troubleshoot digital forms, templates, workflows, automations, and integrations within Zoho
Develop, customize, troubleshoot, and maintain the company website using HTML, CSS, and JavaScript
Manage website hosting, domains, DNS, SSL certificates, content management systems, and third-party integrations
Administer approved AI tools including ChatGPT, Claude, Microsoft Copilot, and Google Gemini
Support AI workflow automation while protecting confidential and patient information and complying with HIPAA requirements
Monitor and respond to website security issues, suspicious activity, phishing attempts, and potential cyberattacks
Coordinate incident response, remediation, backups, and recovery with specialists or vendors
Manage RingCentral accounts, extensions, phone configurations, call routing, voicemail, and communication settings
Support eClinicalWorks and other healthcare practice management systems
Manage insurance payer portals and referral platforms including Lyra, ComPsych, Zocdoc, and Psychology Today
Maintain social media accounts, online reviews, website content, provider listings, and online directories
Manage vendor accounts, subscriptions, billing contacts, renewals, and service records
Set up and remove staff and provider access across company systems during onboarding and offboarding
Maintain technical documentation, system inventories, recovery procedures, and operational continuity records
Assist management with technical reporting, process improvement, and continuity planning

Requirements

What you’ll need

Minimum 2 years of experience in IT systems administration, website maintenance, or a comparable technical support role
Working knowledge of HTML, CSS, and JavaScript
Experience with website hosting and troubleshooting, including GoDaddy, DNS management, and SSL
Experience with Zoho applications or a comparable cloud-based operations platform
Experience with RingCentral or a similar VoIP and communications platform
Strong understanding of user access management, account security, MFA, phishing prevention, data backups, and cybersecurity best practices
Experience with staff onboarding and offboarding across multiple systems
Strong troubleshooting, documentation, and organizational skills
Experience working with remote or international teams
Reliable high-speed internet connection and a professional, secure home workspace
Healthcare experience, including HIPAA compliance and EHR/EMR troubleshooting, preferred
Familiarity with insurance payer portals, referral platforms, or behavioral health practice systems preferred
Experience with AI tools and platform administration preferred
Experience with integrations, automation, and workflow tools preferred
Basic social media administration experience preferred
