About the role

Key responsibilities & impact
  • Oversee day-to-day Singapore office operations
  • Manage facilities matters, including repairs, maintenance, cleaning, pest control, air-conditioning servicing, utilities, and office equipment
  • Act as primary contact for building management and facilities vendors
  • Support office moves, seating arrangements, workspace planning, and workplace improvement initiatives
  • Manage pantry, office supplies, stationery, and common-area upkeep
  • Welcome guests and visitors at the office door
  • Coordinate office-related vendors and service providers
  • Source quotations, evaluate vendors, and support procurement activities
  • Monitor vendor performance and service standards
  • Coordinate scheduled office servicing and maintenance
  • Raise purchase orders and support invoice processing
  • Track office expenditure and assist with budget monitoring
  • Maintain contracts, service agreements, and vendor documentation
  • Support timely payment processing and follow-up
  • Handle employee workplace requests and support onboarding/offboarding logistics
  • Plan and coordinate office events, employee engagement activities, town halls, celebrations, and workplace initiatives
  • Coordinate event logistics, vendors, catering, communications, and on-site support
  • Identify opportunities to improve workplace efficiency, employee experience, and operational processes
  • Provide support for ad hoc office, workplace, and administrative projects

Requirements

What you’ll need
  • 3–5 years of relevant experience in Office Management, Workplace Experience, Facilities Coordination, Office Services, Office Administration, or related roles
  • Experience managing office vendors, procurement activities, and facilities-related matters
  • Experience supporting office operations in a corporate or professional services environment preferred
  • Strong organizational and multitasking skills with excellent attention to detail
  • Ability to manage multiple priorities and work independently in a fast-paced environment
  • Good stakeholder management and communication skills
  • Strong customer-service mindset with a proactive and solutions-focused approach
  • Ability to build effective relationships with employees, vendors, and external service providers
  • Comfortable handling operational issues and escalating risks appropriately
