About the role
Key responsibilities & impact- Provide administrative support to the Division and/or assigned departments
- Provide general assistance to all levels of staff
- Act as liaison between supervisors and departments, external contacts, vendors, and clients
- Provide prompt and professional service to internal and external clients
- Prepare and distribute internal communications and serve as a central clearing position for general information
- Oversee and process day-to-day administrative items including mail, packages, expense reports, checks, courier services, and office supplies
- Perform filing, typing, data input, photocopying, faxing, and other clerical support
- Answer inquiries, direct calls, and take messages
- Coordinate and initiate department meetings and travel arrangements
- Arrange schedules for management staff
- Maintain the supervisor’s calendar and schedule meetings and conference rooms
- Compose, edit, and distribute letters, memos, reports, and departmental correspondence
- Pull and put files to dead storage as required
- Perform other assigned duties based on the business unit’s needs
Requirements
What you’ll need- Associate degree in Business Administration or related discipline
- Minimum 2 years’ experience in office administrative work
- Combination of education, training, and relevant experience accepted
- Computer, filing, and 10-key skills required
- Attention to detail necessary
- Strong analytical skills favored
- Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.)
- Oracle preferred
- Ability to prioritize and manage multiple tasks and changing priorities
- Ability to work under pressure and adapt to changing requirements with a positive attitude
- Oral and written communication skills as required for the position
- Self-motivated, proactive, and an effective team player
- Ability to interact effectively and professionally with employees, management, vendors, clients, and others
- Occasional lifting of up to 30 lbs.
- Ability to perform work involving sitting, standing, walking, typing, carrying, pushing, and bending
