About the role
Key responsibilities & impact- Manage core legal workflows, including electronic court filings, service across state and federal portals, and legal research using Lexis, Westlaw, and PACER
- Prepare discovery and litigation shells
- Format pleadings using firm styles
- Schedule court appearances
- Manage documents using Adobe Acrobat and DocuSign
- Oversee PCard expense reconciliations and judicial form processing
- Ensure job tickets are properly completed before work begins
- Assess job requests and ensure task completion throughout the lifecycle
- Provide administrative support including answering phone lines, customer service, document editing/transcription, data entry, reservations, and scheduling
- Maintain logs and tracking software for administrative support work
- Communicate job or deadline issues to team members, leads, supervisors, and clients
- Safeguard confidential company and client information
- Meet contracted deadlines for accepting, completing, and delivering work
- Troubleshoot basic equipment problems
- Help develop training plans and process maps
- Deliver training to a team of Administrators
- Serve as a subject matter expert and resource for junior employees
- Interact with clients in person, by phone, video, or electronically
- Prioritize workflow
- Perform quality assurance on own work and others’ work
- Follow Williams Lea and client-site policies
- Use equipment and supplies cost-efficiently
- Perform other duties as assigned
Requirements
What you’ll need- High school diploma or equivalent education
- Minimum 2 years administrative support experience in a professional organization, preferably in the legal or banking industry; or 1 year or more performing administrative duties for a Williams Lea client operation
- Formal education and/or training may be considered in lieu of experience
- Recent comprehensive E-Filing and E-Service experience
- Direct experience managing state, federal, and arbitration filings across platforms including One Legal, First Legal, Pro Legal, Green Filing, Proof, File & ServeXpress, CaseAnywhere, District Court, Court of Appeals, Supreme Court, TrueFiling, FINRA, UCC, AAA, and JAMS
- Advanced use of MS Office software, including Word, Excel, and PowerPoint
- Strong keyboarding and typing skills
- Ability to technically troubleshoot applicable software
- Familiarity with software programs for administrative support
- Experience scheduling telephonic and virtual court appearances through Court Call, Court Connect, Journal Technologies Court Portal, or similar
- Strong organizational skills and ability to meet deadlines
- Ability to handle sensitive and highly confidential documents and information professionally and discreetly
- Good judgment and problem-solving skills, including knowing when to escalate issues
- Ability to work independently and collaboratively
- Ability to work in a fast-paced environment
- Professional verbal and written communication skills
- Proficiency using required equipment, technology, software, and hardware
- Self-motivated with a positive attitude
- Proven customer service skills
- Must be able to support the West Coast - California
