  • Oversee PCard expense reconciliations and judicial form processing
  • Ensure job tickets are properly completed before work begins
  • Assess job requests and ensure completion throughout the task lifecycle
  • Answer phone lines and provide customer service
  • Edit and transcribe documents
  • Perform data entry for expenses, time, invoices, and other records
  • Create reservations and schedule meetings, conference rooms, A/V, hospitality, travel, and concierge services
  • Track administrative support work using logs or tracking software
  • Communicate job or deadline issues to team members, leads, supervisors, or clients
  • Safeguard confidential company and client information
  • Meet deadlines for accepting, completing, and delivering work
  • Troubleshoot basic equipment problems
  • Help develop training plans and process maps
  • Deliver training plans to a team of administrators
  • Serve as a subject matter expert and resource for junior employees
  • Interact with clients in person, by phone, video, or electronically

Requirements

What you’ll need
  • High school diploma or equivalent education
  • Minimum 2 years administrative support experience in a professional organization, preferably in the legal industry; or at least 1 year performing administrative duties for a Williams Lea client operation
  • Formal education and/or training may be considered in lieu of experience
  • Recent comprehensive E-Filing and E-Service experience
  • Direct experience managing state, federal, and arbitration filings across specified filing platforms and court portals
  • Advanced proficiency in MS Office software (Word, Excel, PowerPoint)
  • Strong keyboarding and typing skills
  • Ability to technically troubleshoot applicable software
  • Familiarity with software programs for administrative support
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Skilled in scheduling telephonic and virtual court appearances through Court Call, Court Connect, Journal Technologies Court Portal, or similar
  • Good organizational skills
  • Ability to meet deadlines and complete projects in a timely manner
  • Ability to handle sensitive and highly confidential documents professionally and discreetly
  • Good judgment and decision-making consistent with business needs and policy
  • Good problem-solving skills and ability to escalate issues appropriately
  • Ability to maintain professional composure under immediate deadlines
  • Ability to work independently and collaboratively
