About the role

Key responsibilities & impact
  • Greet employees and visitors; answer, screen, and route incoming calls.
  • Collect, distribute, and scan daily mail, packages, and vendor checks.
  • Manage and restock office inventory, kitchen snacks, bathroom hygiene products, and conference room supplies using designated Amazon and Staples accounts.
  • Serve as the primary point of contact for building management, maintenance and cleaning services, and office vendors.
  • Coordinate office maintenance, repairs, and facility improvements.
  • Keep conference rooms, common areas, and workspaces functional, organized, and well maintained.
  • Track operational expenses and confirm supply budgets with Finance before purchasing.
  • Document and maintain office procedures, workflows, and standard operating procedures.
  • Track monthly HR data for birthdays and work anniversaries; coordinate approved gifting and milestone or sympathy gifts.
  • Organize monthly hybrid and remote company lunches, including calendar invites, restaurant selection polls, and group orders within budget.
  • Coordinate internal employee team-bonding events and support culture-driven initiatives.
  • Keep internal company calendars and visual Canva calendars current.
  • Serve as a resource for employees on workplace operations and office-related needs.
  • Serve as RTM’s point of contact for external charity and nonprofit partners.
  • Coordinate volunteer days, donation drives, sponsorships, and event logistics.
  • Schedule and follow up on partner meetings, communicate updates, and track commitments and deliverables.
  • Help evaluate new community partnership opportunities aligned with RTM’s values.
  • Coordinate communications and calendaring for charity initiatives.

Requirements

What you’ll need
  • Professional experience in office management, operations coordination, or administrative support.
  • Proven track record of running the day-to-day of an office, managing vendors, supplies, facilities, budgets, and mail/reception with minimal oversight.
  • Exceptional organization and the ability to juggle multiple priorities and deadlines independently.
  • Strong written and interpersonal communication skills, with a polished, professional presence for visitors, employees, and outside partners.
  • Highly proficient in Google Workspace (G-Suite), with the technical competency to manage digital account logins and coordinate basic IT logistics.
  • Comfortable creating and posting simple social content under direction; Canva or similar is a plus; no professional social media background required.
  • A proactive self-starter who collaborates well across teams and communicates openly.
  • Based in the NY / NJ / CT area with the ability to work on-site in Midtown Manhattan four days a week.
  • Preferred: Experience supporting employee engagement, workplace culture, or events programming.
  • Preferred: Experience coordinating with external partners, vendors, or nonprofit / community groups.
  • Preferred: Familiarity with design and social tools like Canva; Adobe Creative Suite a bonus.
  • Preferred: Background supporting live B2B events, trade shows, or conferences.
  • Preferred: Genuine enthusiasm for community building and purpose-driven work.
