About the role
Key responsibilities & impact- Prepare, process, and track trade contracts, bid packages, subcontracts, and change orders under the Project Manager’s direction
- Manage subcontractor onboarding and compliance, including insurance certificates, licensing, and safety registrations
- Support pre-construction efforts, bid package distribution, subcontractor solicitation, and cost estimate database upkeep
- Manage technical document exchanges, including submittals, shop drawings, and RFIs
- Maintain organized plans, drawings, specifications, and permit documentation in construction management software
- Lead project closeout workflows, including punch lists, O&M manuals, warranty documentation, and record drawing distribution
- Assist with monthly owner pay applications
- Review, route, and track project costs, vendor invoices, and pay applications
- Identify workflow enhancements producing project cost or time savings
- Liaise among Project Managers, field personnel, Corporate Services, clients, and trade partners
- Coordinate and participate in project meetings, distribute meeting minutes, and track action items
- Assist with schedule coordination, resource tracking, and day-to-day administrative project support
Requirements
What you’ll need- At least 3-5 years of successful experience leading field operations in commercial construction
- Ability to collaborate and contribute within a team structure
- Self-motivation to accurately and efficiently complete project work with minimal supervision
- Strong verbal, written, and analytical skills
- Very strong organizational skills and good mathematical aptitude
- Previous administrative experience and/or construction industry experience preferred
- Strong knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
- Ability to learn industry-specific software including Proliance, Procore, DocuSign, Textura, Oracle JD Edwards Enterprise One, Nexus, Concur, CornerStone OnDemand, Building Connected, Bluebeam, Box, and WebEx
- Minimum of an associate’s degree or 4 years’ equivalent work experience
- Experience in a construction environment and with accounting software systems preferred
- Professional verbal and written communication skills
- Strong attention to detail, customer service skills, prioritization, and flexibility in a fast-paced environment
- Must be authorized to work in the U.S.
- Employment eligibility verification required to work in the U.S.
