About the role
Key responsibilities & impact- Support financial administration, project documentation, billing coordination, and partner franchise management for large commercial restoration projects
- Serve as a liaison between Project Managers, partner franchises, clients, and the finance team
- Review emergency service documentation, T&M records, and final Xactimate estimates for completeness and accuracy
- Coordinate with Project Managers and Finance Team to facilitate timely invoicing and collections
- Assist with project billing, revenue tracking, and financial reporting
- Monitor project documentation for billing compliance and client requirements
- Track outstanding invoices and assist with payment follow-up
- Manage partner franchise onboarding, including MOUs, compliance documentation, and project expectations
- Evaluate partner franchise capabilities and qualifications for large loss assignments
- Maintain referral and partner tracking systems
- Coordinate with Large Loss Team members during Work-In-Progress and EOS meetings
- Track project milestones, documentation requirements, and deliverables
- Serve as a client contact for project status, documentation requests, and billing inquiries
- Maintain Buildertrend, Xactimate, and other project management systems
- Coordinate employee travel arrangements, including hotels, rental vehicles, and per diem tracking
- Perform additional duties and special projects as assigned
Requirements
What you’ll need- Associate's or Bachelor's Degree in Accounting, Business Administration, Construction Management, Finance, or related field; equivalent experience considered
- 3+ years of experience in project administration, project accounting, construction administration, restoration, insurance, or related industries
- Strong organizational, communication, and time-management skills
- Proficiency in Microsoft Office Suite, especially Excel
- Preferred: Experience with Xactimate, Buildertrend, DASH, Encircle, QuickBooks, or Restoration Manager
- Preferred: Previous experience in restoration, construction, catastrophe response, or insurance claims environments
- Preferred: Understanding of project billing, job costing, and T&M documentation
- Preferred: Experience working with multi-location operations or franchise systems
