About the role

Key responsibilities & impact
  • Manage and track executive correspondence packages, memos, taskers, and reports in CATMS through review and approval
  • Manage CATMS accounts and the OSC correspondence email address, including weekly Pentagon checks
  • Compose memos, briefings, reports, and other documents for senior officials
  • Track correspondence progress, due dates, and performance metrics using Teams, Lists, SharePoint, and other solutions
  • Prepare formal justifications for extensions, cancellations, or transfers of assigned actions
  • Review submissions for format, policy, and quality standards before leadership review or signature
  • Analyze DoW Instructions and Manuals to develop policy and process recommendations
  • Coordinate between OSC, the R&E Executive Secretary, external offices, and Department of War components
  • Attend, document, and report on weekly CATMS synchronization meetings
  • Support FOIA requests, advanced records management, and GAO requests
  • Organize, classify, preserve, store, and manage federal records in digital and physical formats
  • Develop risk mitigation strategies for records handling, storage, and disposal
  • Ensure compliance with the Federal Records Act, FOIA, Privacy Act, and other applicable requirements
  • Contribute to records classification and retention schedules, lawful disposal, and records retrieval
  • Maintain relationships with federal agencies and provide responsive records-management support

Requirements

What you’ll need
  • No clearance required to start; ability to obtain a Secret clearance required to maintain employment
  • US citizenship required
  • Associate’s degree and 10+ years of relevant experience, or Bachelor’s degree with 10 years of experience; Master’s and 8 years of experience
  • Specialized experience may be considered in lieu of educational requirements
  • Strong expertise in organizational workflow and executive support, including proficiency in CATMS
  • Experience handling sensitive information and implementing records management programs compliant with the Federal Records Act
  • Ability to write, edit, and format professional correspondence, memos, reports, and presentations aligned with DoW standards
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to independently manage multiple high-priority tasks in a fast-paced, high-pressure environment
  • Communication and interpersonal skills, including advising senior leaders and collaborating with diverse stakeholders
  • Experience in executive administration, operations, and human resource management
  • Strong analytical and problem-solving skills, including process improvement and organizational change
  • Background with NARA records and information management practices is desired
