About the role
Key responsibilities & impact- Support SVP and AVP members of PACE OU’s leadership team
- Design, audit, optimize, and protect executive calendars in alignment with business objectives, OKRs, and strategic priorities
- Triage meeting requests and preserve executive focus blocks
- Source pre-reads, agendas, and briefing materials 24–48 hours before engagements
- Coordinate cross-functional leadership meetings, All-Hands, and Quarterly Business Reviews with peer executive assistants
- Liaise with executives, direct reports, board members, enterprise customers, and external partners
- Attend operational meetings, track decisions, summarize action items, and drive follow-through
- Plan complex international and domestic travel, including visa/passport logistics, global entry protocols, time-zone synchronization, and ground transport
- Monitor travel disruptions and provide contingency solutions and itinerary adjustments
- Handle sensitive corporate communications, personnel matters, organizational restructures, and strategic initiatives confidentially
- Lead planning for executive leadership onsite and offsites, customer advisory boards, and networking events
- Provide active in-office support and scale in-person coverage for critical executive events and meetings
Requirements
What you’ll need- Located in a designated hub and willing to work in-office a minimum of 3 days per week, with flexibility for additional on-site days
- 10+ years of administrative experience
- At least 5+ years directly supporting C-Suite, EVP, or C-1 Executives within an enterprise tech or Fortune 100 company with $10B+ revenue scale
- Proven track record collaborating within a matrixed network of executive assistants
- Master-level ability to manage hyper-dense, rapidly changing, multi-time-zone calendars
- Deep expertise planning complex international travel itineraries and navigating international travel protocols
- Mastery of Google Workspace (Gmail, Docs, Sheets, Drive), Slack, Zoom/Webex, and enterprise tools
- Salesforce, Quip, and Tableau preferred
