About the role

Key responsibilities & impact
  • Support the Founder and CEO as an Executive Business Partner
  • Support the full conference and speaking pipeline, including inquiry tracking, logistics, and post-event follow-up
  • Handle speaker logistics such as bios, headshots, W9s, vendor forms, ground transportation, expenses, and deadlines
  • Maintain presentation tracking and communicate with conference organizers
  • Price, book, and monitor speaking and business travel
  • Learn and anticipate the CEO’s airport, routing, and hotel preferences
  • Observe sales calls, take notes, and turn discussions into follow-up and next steps
  • Review call transcripts and project context for key accounts
  • Support calendar management, scheduling, weekly meeting briefings, and conflict resolution
  • Support VIP relationship logistics and recognition touchpoints
  • Support nonprofit board meeting coordination and materials
  • Use existing AI-powered systems and propose workflow improvements
  • Handle daily and personal logistics, meals, errands, and home needs
  • Maintain inbox access for utility purposes
  • Support monthly expense tagging and categorization
  • Learn CEO preferences and existing workflows during the first 30 days
  • Take ownership of defined daily/personal support responsibilities by 60 days
  • Propose a process improvement by 60 days

Requirements

What you’ll need
  • Must be based in Philadelphia
  • Willingness to work in the Fishtown office as needed
  • Ability to work continental US-based hours
  • Availability to support the CEO’s working hours, including outside typical 9–5 hours
  • Persistent and coachable
  • Asks sharp, curious questions
  • Resourceful and comfortable solving problems with limited context or authority
  • Comfortable earning trust incrementally
  • Curious about AI tools and able to self-teach new tools
  • Comfortable with repetitive, detail-heavy work
  • Comfortable with direct, frank communication
  • Bonus: experience in a fast-paced, quota-driven, or rejection-heavy environment such as sales, recruiting, or business development
