About the role
Key responsibilities & impact- Provide administrative support to assigned Geography Teams, including scheduling meetings, creating agendas, and taking meeting notes
- Process invoices and contracts in the Union’s financial portal, ensuring policy adherence and billing/payment accuracy
- Track contracts, vendor payments, and financial transactions with locals, vendors, and partner organizations
- Use purchase requisitions to purchase supplies and support specific programs
- Maintain, manage, and reconcile the department purchasing card
- Arrange travel logistics, including flights, car rentals, and hotel accommodations, for local members supporting campaigns
- Build effective working relationships with colleagues at all levels and adapt communication to different working styles and perspectives
- Support planning and execution of department-wide meetings, retreats, and initiatives
- Lead logistical support for key Geography Team meetings and events
- Provide onsite support for meetings as needed
- Handle sensitive issues requiring high levels of confidentiality
- Adhere to strict deadlines for assigned work
- Carry out responsibilities with attention to equity and a racial justice lens
- Perform other duties and special projects as assigned
- Report to the Deputy Director of Member Engagement, Politics and Government and work independently, often without supervision
Requirements
What you’ll need- A minimum of three (3) years of related work experience OR a combination of education and experience that would provide for the required knowledge, skills, and abilities
- Previous experience working with financial systems and institutions through processes such as accounts payable and accounts receivable
- Familiarity with coordinating offsite meetings, procuring hotel rates, processing associated contracts and confirmations, and booking meeting rooms with AV, setup, or accessibility requirements
- Ability to handle multiple, complex projects simultaneously and meet established deadlines
- Outstanding writing, verbal, and analytical communication skills
- Knowledge of labor unions and their operation
- Skill in Microsoft Office and Google Suite programs
- High level of judgment and ability to take initiative
- Ability to work with a diverse group of SEIU leaders, members, and staff in complex and political situations
- Ability to exercise limited independent judgment and make decisions in consultation with peers or higher-level managers
- High level of curiosity about SEIU and social/economic justice movements
- Passion for improving the lives of SEIU members and working people everywhere
- Ability to consistently model the vision and values of the union and its leadership standards
- Long and extended hours and travel may be required
